What Does a Corporate Event Actually Cost in Kerala?

First, why costs vary so much


Two events can look identical on paper and cost very different amounts.

 

A team outing for 80 people could cost 2 lakhs or it could cost 6 lakhs. The difference is not always the quality of the experience. It is the decisions made along the way.


The venue. The food format.


Whether you hire a bus or let people drive.


Whether you want a DJ or just background music.


Whether you want a professional photographer or someone with a phone.

 

Each decision adds or removes cost. Understanding which decisions matter and which ones do not is most of the work.

 


The cost ranges by event type


SMALL TEAM OUTINGS AND DAY OUTS

Budget range: 75,000 to 1.5 lakhs.


20 to 50 people. One day. A venue outside the office, lunch, two or three activities, transport.


At this size, the venue is the biggest variable.


A resort day outing package near Kochi or Trivandrum typically charges per head and includes food and basic activities.


Add transport and a small budget for extras and you are in this range.

 


FESTIVAL CELEBRATIONS

Budget range: 1.5 lakhs to 4 lakhs.


50 to 200 people. Onam, Christmas, New Year, Vishu. Typically held at or near the office or at a rented hall.


Decor, food, entertainment and a compere are the main costs here.


Onam celebrations with a proper sadya, pookalam competition and cultural programme for 150 people can be done well within 3 lakhs if planned carefully.

 


SPORTS DAYS

Budget range: 2 lakhs to 5 lakhs.


50 to 200 people. A full day. Multiple sports, a proper lunch, prizes and a closing ceremony.


The ground or venue hire, equipment, referees, food and prizes are the main items.


The cost goes up significantly if you add a DJ, a stage setup or a large prize pool.

 


AWARDS & RECOGNITION NIGHTS

Budget range: 4 lakhs to 12 lakhs.


100 to 300 people. An evening event. Stage, AV, dinner, entertainment and the awards ceremony itself.


This is where production costs start to matter.


A proper stage, good lighting and AV, a live band or performer and a sit-down dinner for 200 people adds up quickly.


Done well, this is one of the highest-impact events a company can run.


Done cheaply, it shows.

 


LEADERSHIP OFFSITES & STRATEGY MEETS

Budget range: 3 lakhs to 8 lakhs.


10 to 40 people. One or two days.


A venue away from the office, structured sessions, good food and some downtime built in.


The group is small but the expectations are high.


A good venue, comfortable rooms if it is an overnight stay, quality food and a well-designed agenda are the priorities.


This is not the event to cut costs on.

 


TOWN HALLS

Budget range: 2 lakhs to 7 lakhs.


100 to 500 people.


A half-day or full-day internal meeting with leadership addressing the full company.


Stage, AV, seating and food.


The size of the gathering drives this budget more than anything else.


The AV and stage setup for a 500-person town hall is a significant cost. For a 100-person town hall it is much more manageable.

 


ANNUAL DAYS

Budget range: 8 lakhs to 30 lakhs.


200 to 500 people. The flagship event of the year.


Stage, entertainment, dinner, awards and a full evening of programming.


This is the widest range because the variables are the most numerous.


A Bollywood act costs very differently from a local band.


A sit-down dinner for 500 people costs very differently from a buffet.


The venue, the decor, the AV production level, all of these choices stack up.


An annual day is the one event where it is worth having a detailed conversation about what you actually want before you start getting quotes.

 



What drives the cost up


The venue: A five-star hotel ballroom costs more than an outdoor venue, often significantly. Not just in the hire but in the requirement to use their catering and their AV vendors.

 

The food format: A plated dinner costs more than a buffet. A buffet costs more than a tea and snacks setup. Food is often 40 to 50 percent of the total event budget.

 

Entertainment: A celebrity performer, a well-known band or a professional magician costs money. Local talent and in-house performances cost far less and often work just as well.

 

Last-minute planning: Booking a venue at two weeks notice during Onam season or December will cost you more than booking it two months ahead. Good vendors get booked early.

 



What you can control without compromising the experience


The food format.


A well-executed buffet feels just as good as a plated dinner for most corporate events.


Your team does not care whether they are served or whether they serve themselves. They care whether the food is good.

 


The venue.


A non-hotel venue is often cheaper than a hotel ballroom, sometimes by a significant margin.


And for team outings and offsites especially, it creates a better experience.

 


The entertainment.


A good emcee and a well-designed programme often create more energy than an expensive performer.


The structure of the evening matters more than the headliner.

 


The headcount.


This sounds obvious but it is often overlooked.


Every person added to the guest list adds food, seating, transport and sometimes accommodation cost.


Being clear about who needs to be there saves money without affecting the event.

 



One thing worth saying clearly


The cheapest quote is rarely the best value.

 

An event that does not achieve its purpose costs the company far more than the money spent on it.


A team that comes back from an outing feeling flat.


An annual day that people complain about on the way home.


These are real costs that do not appear on any invoice.

 

The goal is not to spend less. The goal is to spend right.
